Front of House & Administrative Assistant
£35,000 (12 Month Fixed Term Contract)Are you a super approachable team player with 2+ years’ experience in a front of house role?

A prestigious private bank is seeking a confident and motivated individual to run their front of house and provide administration support to the junior bankers
This is an in office role, Monday – Friday 9am – 6pm.
What you’ll be doing day to day:
• Greeting and engaging with clients front of house
• Answering calls and directing to colleagues
• Coordinating a busy schedule of meeting room bookings
• Ensuring meeting rooms are well presented
• Managing post and booking couriers and taxis
• Ordering lunches when required for meetings
• Providing support to the junior bankers, such as processing expenses
• Assisting with ad-hoc requests with enthusiasm!
The skills you need to bring:
• 2 + years within a front of house position, ideally in a professional services environment
• A passion for providing the best possible service and support
• Organised, methodical, and able to keep calm while juggling multiple priorities
• Excellent communication skills, both verbal and written
• Strong attention to detail
• Strong proficiency in MS Office

What You’ll Be Doing:
As the Registrar & PA, you’ll be at the heart of operations, assisting the Founding Director and Managing Director with both administrative and logistical tasks to keep the gallery running like a masterpiece. Your duties will include:
PA & Admin Support:
Keep the Directors organized with emails, travel bookings, and appointments.
Be the face of the gallery—liaise with clients, answer calls, and assist with front-of-house duties.
Help maintain the Founding Director’s personal files (think bank, tax, medical)—everything in order!
Update digital artwork files and add fresh new works to our website.
Support with art loss register certificates and other essential paperwork.
Registrar Responsibilities:
Manage local and international shipping—coordinating the movement of artworks, handling the paperwork, and working with art handlers and shippers.
Ensure the gallery’s HMRC records are up to date and all customs paperwork is in perfect order.
Apply for export licenses and manage Temporary Admission Facilities and Bonded Warehouse operations.
Oversee data entry for artwork records, deliveries, collections, and insurance.
Manage digital invitations for art fairs and collaborate on gallery record systems.
What We’re Looking For:
Strong communication skills (both written and spoken English) with attention to grammar; bonus if you speak other languages!
Organizational wizard who can prioritize and juggle multiple tasks without breaking a sweat.
Tech-savvy—proficient in MS Office, Excel, and Adobe.
Someone with a keen eye for detail, a positive attitude, and a can-do approach.
Previous experience in a registrar capacity is preferred, but if you’re motivated to learn, we’re here to support your growth.
A passion for art is a plus, though this role is more about logistics and support than sales or curation.
